Getting Started
VanAdmin is an AI office assistant for UK tradespeople. It helps with quotes, customer emails, follow-ups and the admin that usually follows you home after a day on the tools. Think of it as your office manager in the van.
Sole traders and small trade businesses. Electricians, plumbers, builders, heating engineers, roofers, joiners, carpenters, painters and decorators, landscapers and similar trades who work on the tools and do the paperwork themselves.
No. VanAdmin is not CRM software, accounting software or a full business system. It is built to help with the evening admin: quotes, replies, follow-ups and useful memory. It is designed to work alongside the tools you already use.
Yes. VanAdmin is being built for phones first, so you can use it between jobs in the van. You should not need a desk or a laptop to get value from it.
No separate install is planned for day-to-day use. VanAdmin is being built as a web app you open in your browser on your phone or computer.
VanAdmin is in private beta with selected UK tradespeople. Public access is not open yet. Join the waiting list to hear when more people can get in.
Quotes
Yes. You can ask VanAdmin to prepare a quote using natural language, then review it before anything goes to the customer.
Yes. VanAdmin prepares a draft for you to check. You stay in control of the figures, wording and what gets sent.
Online quote acceptance is part of the product direction, but availability may still be limited during private beta. We will be clear about what is live as access opens wider.
No. VanAdmin does not send quotes without your approval. It prepares the work. You decide when it goes out.
Yes. That is the core idea. You tell VanAdmin what the job is in plain English, the same way you would speak to someone helping with the office.
Invoices are planned and are expected before public launch. They are not something you should rely on as fully available yet during early private beta.
Customer Emails
VanAdmin can draft customer replies for you to review. It helps you answer faster without writing every message from scratch between jobs.
Gmail connection is part of the product direction. Exact email integrations and rollout timing will be confirmed as we open access beyond private beta.
No. Nothing is sent to a customer until you approve it. That is a core rule, not a nice-to-have.
Yes. Every drafted reply is meant for you to check, tweak if needed, then approve.
Yes. VanAdmin can help you see who still needs a follow-up and draft chase messages for you to approve before anything is sent.
Calendar
Google Calendar support is planned. It is not fully available yet, so treat availability answers in demos as examples of where we are heading.
That is the plan once calendar connection is live. You will be able to ask when you are free and get a straight answer from your diary.
Helping with appointments is part of the longer product direction. Scheduling that writes into your calendar will only happen with clear controls and your approval.
Google Calendar is the first planned calendar integration. Outlook support is not confirmed yet.
No. You stay in control. VanAdmin is being built to prepare and suggest, not to take calendar actions behind your back.
Customer Memory
Yes. Customer memory is a core part of the product: who the customer is, how they prefer to be contacted, and useful details you should not have to keep only in your head.
That is the aim. VanAdmin is being built to keep useful job and property context available when you need it on site or between calls.
Business memory is designed to hold useful pricing context for common work, so you are not rebuilding the same figures every evening. You should always be able to review and correct what it uses.
Yes. Memory only helps if you can trust it. You should be able to correct or update what VanAdmin has stored.
Memory capabilities are being built and refined in private beta. Some parts may still be limited depending on your access stage.
AI & Privacy
Security is taken seriously. VanAdmin is being built for real trade businesses handling customer details, so access controls and careful handling of data are part of the design from the start.
Your business and customer information is not treated as free training material for public AI models. We will keep privacy wording clear as the product launches, and we will not bury important details.
You own your business information. VanAdmin is a tool that stores and helps you work with it. It does not claim ownership of your customer list or job history.
Yes. You should be able to request deletion of your account and associated data. Exact self-serve controls will be confirmed as we move toward public launch.
Yes. Customer and business data is handled with encryption in transit and at rest as part of a standard secure setup.
No. VanAdmin never sends customer messages without your approval. That is one of the clearest product rules we have.
Pricing & Launch
Pricing is being finalised during private beta. We are not publishing numbers yet because we will not invent them. Waiting list members will hear first.
Trial details have not been published yet. Early access and founding member offers are likely for people who join the waiting list and help shape the product.
Final plan terms are not published yet. Pricing will be designed for sole traders and very small trade businesses, not enterprise software contracts.
There is no public launch date on the site yet. Private beta is underway, and waiting list members will get updates as access opens wider.
Private beta is limited. The best way to be considered for early access is to join the waiting list and, if useful, email hello@vanadmin.co.uk with a short note about your trade.
